2025 has just begun, and we’re already diving headfirst into our first major milestone of the year: hosting a large-scale event that promises to set the tone for the months to come. As we gear up for this exciting endeavor, we wanted to take you behind the scenes of what it’s like to set up an event of this magnitude, from planning to execution.
The Vision
Every great event starts with a vision. For us, this year’s focus is on creating an immersive experience that combines creativity, inspiration, and community. Whether it’s through captivating displays, engaging workshops, or unforgettable moments, the goal is to bring people together and leave a lasting impression.
The Planning
The groundwork for this event started months ago, with brainstorming sessions and strategy meetings to ensure we hit all the right notes. One of the biggest challenges has been coordinating with multiple teams and partners, ensuring that every detail aligns with our overarching theme.
Venue scouting was an adventure in itself. We’ve locked in a stunning location that offers the perfect balance of functionality and atmosphere—a space that will allow our creative ideas to shine. With a layout that’s both versatile and visually appealing, the venue will serve as the canvas for everything we’ve planned.
The Logistics
From securing permits to designing the setup, the logistics have been both daunting and rewarding. Our team has been meticulously organizing every aspect, from the audio-visual equipment to the seating arrangements and decor. We’ve also been working closely with the venue and their security team, to make sure that the event is as safe as possible, and everyone is comfortable.
Of course, technology plays a huge role. Mainly the social media we have been using to try and increase the reach and scope of the event, showing it off to a wider audience!
The People
One of the most exciting parts of this event is the incredible atendees, we wouldn’t be able to set up an event without all of you! We have had wonderful emails with people asking us if they can set up scenes and large scale rigging, we have the offer of vac beds, and some other wonderful and unique play equipment, we couldn’t do it without all of you!
Additionally, none of this would be possible without our amazing team. From the event planners to the volunteers, everyone has been pouring their hearts into making this a reality.
